Spreadsheets work for small groups if there is one owner and locked column meanings. They fail when everyone keeps a private copy named “peptides FINAL v3.” Pick one file, one owner, and a weekly freeze of a dated export.

A durable row for BPC-157 names the institutional item code, the catalog slug, lot, amount remaining, freezer/box/slot, receiver, and the lot-file name. The same structure works for TB-500, NAD+, and GHK-Cu. If you cannot answer those fields from the record alone, the record is not done.

Link the live product URL in the row so the next purchaser clicks the same SKU. Autocomplete will happily offer a lookalike. Canonical URLs in the item master beat “search BPC” tribal knowledge.

When a size changes on the storefront, create a new item code or a clear size field. Quietly reusing the old code for a different fill amount makes remaining-quantity math a lie. Liars in inventory are usually accidental, but they still waste weeks.

Photograph frost-damaged labels and attach the image to the row. Images survive when ink does not. Do not wait until the lot is unreadable to think about photos.

Export a dated copy of the inventory whenever a receiver leaves or a quarter ends. Cloud LIMS platforms still need an institutional export you control. If the vendor lockout happens on a holiday, you still need a list of lots and locations.

Backups that nobody can open do not count. Store a CSV or PDF in the same drive as lot files, with a filename that includes the date. Test a restore once a year. Untested backups are decorations.

Offboarding should include a walk of the physical freezer against the export. Ghost rows and ghost vials surface then, while someone still remembers what happened, instead of six months later during a failed control.

Do not keep the only copy of the inventory in a student’s personal Google account. Institutional systems exist so access survives graduation. Personal accounts are how peptide maps disappear.

If your safety office wants a chemical list, generate it from the same source of truth. Parallel lists drift. Drift is how RUO items get recategorized as something they are not. Keep the disclaimer purpose field on the export.

End the walk by confirming lot files for any new receipts still sit in the institutional drive. A freezer full of undocumented vials is not a complete inventory. The COA library is a source, not a memory palace.
